Outbound

Reach out to your contacts proactively — one-off campaigns across email, chat and messaging channels, in-product messages like banners, tours and checklists, and multi-step Series that run on autopilot.

What Outbound is#

Everything else in Respondo is reactive — a customer writes in and your AI agent or team replies. Outbound is the opposite direction: you pick an audience and send them something — a product announcement, an onboarding tour, a survey, a WhatsApp template message, or a whole automated sequence.

Open it from the main rail: Outbound. The section has its own sidebar with five areas:

AreaWhat lives there
CampaignsOne-off and recurring sends of every type — the campaign list, the per-type editors, and per-campaign reports.
ToursProduct tours in one table with their view/completion funnels. Tours are built in a dedicated on-site editor.
SeriesAutomated multi-step journeys — entry rules, waits, branches and goals. Covered in the Series section of these docs.
NewsThe in-widget "what's new" feed — publish changelog-style posts your users see inside the messenger.
WhatsApp templatesMeta-approved message templates required for outbound WhatsApp sends — sync, create and track approval status.

Below the areas the sidebar keeps Views — saved filter + column presets for the campaign list, shared with the whole workspace. Filter the list the way you like, then click Save view.

Message types#

A campaign has a type that decides where and how the message appears:

TypeDescription
EmailA one-off email to a segment — subject, body, sent from your workspace's sending address, with an unsubscribe link.
ChatA one-to-one message in the chat widget — shown as a badge, a snippet, or the full message; the reply box can be plain text or an email collector.
AnnouncementA rich card — title, hero image and CTA buttons — delivered to the widget and, optionally, connected messaging channels with per-channel overrides.
SurveyA question flow — text, multiple choice, scale, NPS or CSAT questions — shown as an overlay modal or one question at a time in the chat thread.
BannerA page-level banner on your site — inline bar or floating card, top or bottom, with an optional action: open a URL, collect emails, emoji reactions, or launch a tour.
TooltipPointers anchored to elements of your live site, designed visually in the widget's design mode. One campaign can hold several tooltips.
Product tourA guided multi-step walkthrough of your app — pointer, post and video steps, URL targeting, A/B variants, goals and a completion funnel.
ChecklistAn onboarding checklist in the widget — up to 10 tasks, each launching a tour, opening a URL, or ticked off manually.
PushA mobile push notification delivered through the Respondo mobile SDK — title, body, optional deep link into your app.
Zendesk is a migration source, not a delivery channel — campaigns are sent over your live channels (widget, email, Telegram, WhatsApp, Slack, Discord), never through Zendesk.

Permissions#

Outbound access is controlled by two permissions in the roles matrix (Settings → People → Members & roles → Roles):

PermissionAllows
outbound.viewSee the Outbound section in the rail, browse campaigns, series, segments, templates and reports.
outbound.manageCreate, edit, launch, pause and archive campaigns and series; manage segments, saved views and WhatsApp templates.

Owners and Admins have both by default. Custom roles start view-less — enable the permissions you need in the matrix.

Plan limits#

Every plan includes a monthly pool of outbound messages. Every message a campaign or series sends — counted when it is handed to the channel, not when delivery is confirmed — consumes one from the pool; the pool resets with the calendar month.

PlanOutbound messages / month
Startup — $99/mo20,000
Growth — $219/mo50,000
Business — $499/mo150,000

During the 14-day free trial the cap is a flat 1,000 outbound messages.

When the pool is exhausted, launching campaigns, restarting them, and starting or enrolling contacts into Series is blocked until the next month or a plan upgrade. Already-delivered messages and drafts are unaffected — you can keep editing.
